Job description

Position objectives

We are looking for a competent Office Manager to help with the organization and running of the daily administrative operations of our Bucharest Office.
The ideal candidate will be a flexible attitude professional, able to undertake a variety of office support tasks and work diligently to deliver in due time. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Qualifications

  1. Organizing the office and assisting managers in ways that optimize procedures
  2. Sort and distribute communications in a timely manner
  3. Create and update records ensuring accuracy and validity of information
  4. Manage phone calls and correspondence (e-mail, letters, packages etc.)
  5. Schedule and plan meetings and appointments, travel arrangements/appointments
  6. Plan/organize in-house or off-site activities
  7. Monitor level of supplies and handle shortages
  8. Liaise with facility management vendors, including cleaning, catering and health & safety services
  9. Support Board members with internal communication coordination and assistance
  10. Support HR Administrative tasks: meal tickets orders, organizing different events
  11. Meeting and greeting visitors at all levels of seniority;

Qualifications

  1. Flexible attitude, willing to deliver to all parties (managers, customers and colleagues)
  2. Excellent organizational and time management skills
  3. Excellent written and verbal communication skills in English
  4. Proficiency in MS Office
  5. Reliable, precise, structured and discrete person with good coordination capabilities
